Email signature will always be considered imperative for effective communication. Despite the growth of social media, it is still a powerful tool for establishing a corporate identity and marketing your brand to a range of diverse stakeholders. Since the electronic world does not have the facility of business cards or letter pads to offer contact information, your email signature serves this purpose.

Before we further explain its importance, let’s understand what exactly is an email signature in its essence.

What is an email signature?

An email signature is simply a combination of words embedded in the conclusion of an email. It could be either be on auto-pilot or inserted at the click of a button. You can think of it as your business card in the online word which presents all your business information including name, contact number, and address to the recipients.

This makes email signature as an organization card of your business and clears you of the need to share contact numbers and website links to anyone which you send an email to.

What makes your company’s email signature so crucial?

The shared number of email users around the world indicates the valuable marketing opportunity it holds for businesses. According to a 2017 study, conducted by Radicati Group, there are over 3.7 billion email users globally which are projected to grow at a rate of 4.4 percent over the next four years. These users send around 269 billion emails each day, leveraging the tremendous capacity of email marketing to demonstrate their brand to various stakeholders.

Successful companies no longer think of email signature as a low-level tool. They fully understand its importance and employ it as an opportunity to attract and build a relationship with new prospects. This article further explains why it is essential for companies to have a professional email signature in their email marketing.

1. An email signature shows professionalism:

Well established businesses need diverse technique and strategies to gain the attention of large groups of consumers. They have huge marketing campaigns and often leverage email platforms as a way to communicate with their customers. Effective branding of products and services require businesses to embed email signatures in their emails campaign. It not only provides essential information about the company but also professionally presents their brand’s message.

2. Brand Recognition:

Email signatures are also useful in creating brand recognition of a specific team within a company. Anytime a team is put together to perform a specific project; they can create a unique brand and use it when sending emails internally or externally.

3. Makes email marketing more effective:

Digital marketers commonly use email marketing to promote their business. It is easy and cost-effective, but what is the use of email marketing if it is not attractive! An email signature combines your business info including contact number, physical address, business logo, and website link, all in one place. It makes your email more effective and action-oriented.

4. Digital Business Card:

Businesses often need a physical business card for various reasons. They come handy when introducing an individual or a group of people to the company they work for. A business card also introduces business to people outside the company. An email signature is an excellent equivalent to a business card in the digital world. It is a way to represent your company and connect with customers to convey information about the business.

5. Provides quick links to important info about a company:

Email signatures also provide important links to the recipients. It makes it easy for prospects to get the information that matters the most. You can also modify the information and links provided in the signature to suit it to the needs of the target audience.

By providing a company’s telephone number, you take the communication to a more personal level. Any potential customer can just tap it and make a quick call. Links to a company’s social media and YouTube channels also make it convenient for customers to communicate on a personal level.

Keys to success:

While a solid email marketing campaign aided by email signature is crucial, they must be complemented by other tools like CRM and contact management software. They will help you keep track of sales and manage customer & vendor information while your campaign generates more leads and finds new customers.

A successful email signature takes care of the following factors.

Good design:

An email signature with a good design provides all the information with an effective hierarchy and maintain clear brand communication. It also uses consistent fonts and font colors. Since most of the recipients now read emails on smartphones, your company’s email signature must be responsive to smartphones.

Company’s and brand’s consistency:

Each employee of the company shall have the same email signature layout. Also, it must use the same business logo and colors that are printed on brochures, business cards, and website. When there is consistency, each email an employee sends, brands your business and reinforce its identity.

Be social:

Email signature is an effective way to promote your social channels without spending almost nothing. Make sure you include only those channels where you've got the strongest presence and business-related content. Adding links to your social media platforms like LinkedIn, Twitter, and Facebook makes it easy for recipients to contact you or find valuable information about your company.

Legal Disclaimers:

Sometimes, certain regulations require you to send a legal disclaimer with every email. The disclaimer may include confidentiality or copyrights to certain information in the email. Including a legal disclaimer in email signature means that you don’t have to add it with every email you send.

Include the Basics:

Make sure your email signature doesn’t miss any of the basics. It should include the company’s name, your position, phone number, website URL, and business logo. You can also include a picture, links to social media platforms and any legal disclaimer but make sure you don’t overload it with text or links.

Conclusion:

An email signature at the end of your email makes it appear professional and gives the customers a perception that they are dealing with an established company. It serves as your business card or letterhead, so make sure you make out of this tool.
